Salary: £18,895 / year (£8,062 pro rata)
 
Initial 1-year fixed term contract, expected to be extended to 2 years
 
About FareShare Midlands
FareShare Midlands is the region’s largest food redistribution charity, fighting food poverty and hunger by tackling waste. We source good quality food that is surplus to requirements from retailers and manufacturers. We rely on an army of volunteers to help redistribute this food to 550 frontline charities such as school breakfast clubs, community centres and organisations supporting those who are homeless, unemployed, socially isolated and recovering from addiction. The Role
This role will work closely with the Employment Coach to coordinate and administrate the daily running of our ‘I Can’ employability programme. I-Can is delivered in partnership with The PURE Project a European Social Funded project that brings together a range of coordinated interventions which assist the needs of vulnerable citizens of Birmingham. The project will support people aged 29+ to upskill and move into employment.
 
You will be responsible for ensuring that all referrals are processed, pre-screen appointments are arranged, learner starter packs and training materials are prepared, learner time sheets and travel passes are processed, stationery and paperwork is completed accurately and within expected timeframes.
 
Main responsibilities
 
1. Participant Administration
  • Ensure that all new referrals are responded to and processed in a timely and professional manor
  • Ensure that all potential participants are contacted and invited to pre-screen meetings
  • Prepare all participant starter files and training materials in advance 
  • Possess and maintain an understanding of DWP/ESF processes and requirements that are subject to audit requirements.
  • Undertake and coordinate, on a day to day basis, all aspects of ESF finance and administration relating to the FareShare Midlands contract with Birmingham City Council (BCC) for ESF funding.
  • Provide consistently high-quality administrative paperwork relating to the delivery of the PURE Project including PURE core documentation of a participant’s journey.
  • Ensure that all learner files are maintained and are up to date
  • Monitor and order PPE & stationary 
  • Monitor participant attendance 
  • Order and issue learner travel passes 
  • Attend network meetings and jobs fairs to support the promotion of the programme with partners and stakeholders
 
2. Participant Compliance and Training
  • Administrate and monitor any online training for participants
  • Administrate certificates. Issue and file copies accordingly
  • Update learner training records
 
3. Participant Systems management 
  • Ensure that the National Learner Management System is up to date at all times
 
Person Specification

Essential Experience, Skills and Qualities
  • Able to establish and maintain systems and accurate recording of data
  • Excellent attention to detail
  • Experience of working with people from a diverse range of backgrounds
  • Good communication and interpersonal skills, with the ability to deal with people at all levels
  • Enthusiastic and self-motivated with good team-working skills
  • Good time management with ability to manage workloads to meet deadlines
  • IT literacy, in particular of using Microsoft applications (Outlook, Word, and Excel)
  • A commitment to Equal Opportunities and inclusivity

Desirable
  • Experience of the Welfare to Work sector
  • Experience of supporting adults with additional support needs 
  • Experience of using learner management systems  
  • An understanding of Food Safety and Health and Safety legislation
  • Full clean driving licence and have access to a vehicle in order to travel to external meetings
